Oncology Trainee Travel Awards

Award Overview

The goal of the Oncology Trainee Travel Awards is to support the continuing education and professional development of trainee oncologists by providing them individual travel grants to defray travel expenses for attending the ASCO Annual Meeting on June 4-8, in Chicago, Illinois. The ASCO Cancer Foundation will provide travel awards for up to100 trainees.

Funding Available

In recognition of the considerable costs associated with attending the ASCO Annual Meeting, the travel award will consist of the following:

• $2000 for travel fare (economy-class), hotel, local transportation and meals
• Complimentary registration for the Annual Meeting ($120 in value)
• Access to Meeting housing reserved for ASCO members

Funding for these awards include an educational grant from sanofi-aventis U.S.
Eligibility Criteria

• Trainees must be ASCO Associate members or submit an application for Associate membership along with their nomination for the travel award.

• Institution must be an academic medical institution based in the U.S.

• Trainees must be participating in a medical subspecialty training program in oncology or another oncology related field. Junior faculty are not eligible.

• Trainees must show evidence of scholarly activity (publications, participation in studies, etc.). Preference will be given to trainees who submitted an abstract to the 2010 ASCO Annual Meeting.

• Trainees who have been selected to receive a 2010 Young Investigator Award or 2010 Merit Award from The ASCO Cancer Foundation will not be eligible to receive a travel award (those awards already include a budget for travel to the Annual Meeting).

• Trainees must not have received a Merit Award to attend the Annual Meeting in the last two years.

April 1, 2010:  Announcement of the 2010 Young Investigator Award recipients

Application Process and Requirements

Training Program Directors can nominate up to two trainees from each training program including oncology and oncology-related (hematology-oncology, hematology, surgical oncology, radiation oncology) training programs.  Trainees cannot apply directly for these awards.  Nominations must be submitted online.

For each nomination, the Training Program Director must provide the following information on the trainee:

  • Full name
  • ASCO Member ID#
  • Contact Information (mailing address, email, phone, and fax)
  • Institution name
  • Subspecialty training program
  • Subspecialty training period (start and expected completion dates)
  • Biosketch
  • Letter of nomination from the Training Program Director on letterhead, including confirmation of training status, statement of financial need, and confirmation of scholarly activity
  • If trainee submitted an abstract to the 2010 Annual Meeting, include the Abstract Submission #

Deadline:  Nominations must be received on April 5 by 5 PM, EDT.


Selection Process

Nominations are reviewed for completeness and selection is made by Grants staff of The ASCO Cancer Foundation.  Selection will be made using a random process for those applications that meet the submission criteria, with preference being given to trainees who submitted an abstract to the Annual Meeting.  No more than two trainees per institution may be selected.

Award Notification

Program Directors and the trainees selected for a travel award will be contacted on April 8.  All award decisions are communicated via e-mail.  The travel funds will be made payable to the trainee, or to their sponsoring institution but only if their institution is another public charity, or is a tax-exempt organization with a section 501(c)(3) tax-exempt status. The cheque will be mailed before the meeting.

If a trainee is chosen to receive a travel award, he or she must comply with the following conditions:

  • Evaluation Report Due:  After the meeting, trainee is required to complete an evaluation of the program and provide information on professional activities attended at the Annual Meeting and how these activities added value to his or her educational experience and professional development.  Trainee will also be asked for a breakdown of how the funds were used.  A link to this evaluation will be sent to trainees in June 2010.
  • Tax Compliance:  Trainees must submit a W-9 tax form.  The form is available for download at http://www.irs.gov/pub/irs-pdf/fw9.pdf
